Furthermore, some countries also demand employers to keep complete and accurate mileage reimbursement records. Failing to do so can result in a considerable sum of tax penalties.

  • Make sure that the employee has a government-issued driver's licence, and he is legally allowed to drive.
  • Make sure that the vehicle in question has a valid Ministry Of Transport certificate.
  • Make sure that all the taxes are paid for the vehicle in question.
  • Make sure that the driver's insurance covers business mileage as well.
  • If possible, make sure you get a copy of the Vehicle Registration Document.

  • Try and have a Grey Fleet driving policy and communicate it to all the drivers. This can include conveying the drivers about basic requirements to ensure safety, such as the speed limit, or even the age maximum age of the car that can be a part of the fleet.
  • Make sure that you have a process that helps drivers report any safety-related issues such as accidents, penalties, incidents, etc.
  • Ask the drivers to dismiss or remove any features in a car that can be a distraction, such as watching multimedia while driving or using the car on autopilot on a busy road.
  • Make sure that all the vehicles in the Grey Fleet are maintained and serviced regularly to keep them in the most optimum condition.
  • Enforce regular vehicle checks to ensure there are no issues with the cars that can result in any sort of accidents or other problems.
  • Train the employees to drive safely, follow traffic rules, and avoid using phones while driving.

The Chartered Institute of Internal Auditors (Chartered IIA) has seen cybersecurity rank as its top risk for the third year straight.
